InstaSDR Sending Policy

‍1. Purpose

This policy defines the rules that govern every outbound message sent through InstaSDR.

  • White-label service. InstaSDR.ai (a product of Funnelmind, llc) drafts, personalizes, and sends email sequences from Clients' own domains and mailboxes that the client purchases themselves or InstaSDR.ai purchases on their behalf. Recipients see only the Client's branding.
  • These rules complement all relevant laws (CAN-SPAM, CASL, GDPR/UK GDPR, ePrivacy, etc.) and protect the reputations of both our Clients and their recipients.
  • Non-compliance may trigger throttling, campaign pauses, or account suspension.

‍3. Four Non-Negotiable Rules

  1. Full Legal Compliance (CAN-SPAM)
    • Honest subject lines, a physical mailing address, no deception, and (for EU/UK) a documented lawful basis for processing.
    • Clear, conspicuous, unsubscribe information that's honored immediately across all future sends as per CAN-SPAM Act
  2. Accurate Sender Identity
    • "From," "Sender," and "Reply-To" fields must display only the Client's name and domain.
    • Clients must configure a real and accurate sender name & company name in Settings > Sender Persona (and anywhere else the app collects this data).
    • InstaSDR sets the sender's real first name @ real company name as the "From" name in all the emails based on the sender persona.
    • Domains must be ≥ 20 days old, DKIM-signed, SPF-aligned, and preferably have DMARC set to monitor or quarantine.
  3. Content Restrictions
    • No unlawful, libelous, hateful, or violent material.
    • High-risk verticals (gambling, payday loans, "get-rich-quick," unlicensed securities, adult content, illicit drugs, etc.) require prior written approval and licensing proof.
  4. Shared Responsibility & Oversight

    ClientProvide legally sourced contacts; approve copy; respect opt-outs returned by InstaSDR
    InstaSDRManage infrastructure, suppression lists, and reputation; vet all leads (see Section 4); throttle or halt campaigns that threaten deliverability or breach this policy.

‍4. Lead Quality & Suppression Lists

  1. Leads Sourced by InstaSDR
    • We procure contacts from multiple reputable vendors.
    • Each lead is cross-checked against bounce-forecasting services, third-party validation APIs, and historical mailbox-provider error codes. Suspected hard-bounce or blocked addresses are suppressed before first sent.
  2. Leads Uploaded by the Client
    • All imported contacts pass through the same validation pipeline. Addresses flagged as likely to hard-bounce, spam-trap, or trigger provider blocks are added to the Client'apos;s suppression list and will not be emailed.
  3. Global & Client-Level "Do-Not-Send" Lists
    • InstaSDR maintains a global suppression database of addresses that have bounced, complained, or otherwise signaled they do not wish to receive further mail from anyInstaSDR sender.
    • Each Client also has a dedicated suppression list(unsubscribes, abuse complaints, invalid addresses). We automatically check every outgoing message against both lists.
  4. Opt-out Synchronization
    • When recipients unsubscribe or complain, we record the event in real time, update the relevant lists, and surface it to the Client dashboard/API within minutes.

‍5. Data Protection & Privacy

  • InstaSDR acts as a data processor; we process personal data strictly per each Client's documented instructions and our signed DPA.

‍6. Rate Limits & Enforcement

  • Default daily caps are set per mailbox and raised only after warm-up and reputation review.
  • If hard-bounce or complaint thresholds are exceeded, we may automatically slow or pause delivery pending investigation.
  • Repeated or serious violations may result in immediate suspension.

‍7. Approval for Regulated or Edge-Case Content

Email legal@instasdr.ai with:

  1. Business description
  2. Sample copy & target-audience details
  3. Licensing proof (if required)

We typically respond within two business days.

‍8. Policy Updates

We may revise this policy to reflect legal or industry changes. We will email the account owner at least 10 days before material changes take effect unless urgent security or legal reasons require faster action.
